Help & how-to

Short guides for Deadline Wallet on the website, iPhone, iPad and Android. You shouldn't need them, but they're here if you get stuck. Tap a topic to open it, or search.

Getting started

What Deadline Wallet does, and your first five minutes.

Deadline Wallet keeps track of the dates where money is on the line, and reminds you before each one so you can act in time.

Return
Example:
Headphones from Target with a 30-day return window
The deadline it tracks:
The last day to return them
Warranty
Example:
A laptop with a 12-month warranty
The deadline it tracks:
The day the warranty ends
Subscription
Example:
Netflix, billed monthly
The deadline it tracks:
The next renewal date
Free trial
Example:
A 7-day Hulu trial
The deadline it tracks:
The day the trial ends and charging starts

Your first five minutes

  1. Create your free account and verify your email, so reminders can reach you.
  2. Add your first deadline: type it in, scan a receipt, say it, or forward the email. See Add a deadline.
  3. Check its reminders, and turn on push notifications if you use the phone app. See Reminders.
  4. When you return the item or cancel the plan, tap the matching button. Reminders stop, and Deadline Wallet counts what you saved. See When a deadline is done.

One account everywhere

Sign in with the same email and password on the website and in the app to see the same deadlines. During the beta, the iPhone and iPad app comes through TestFlight and the Android app through a Google Play test; Join the beta starts with a 2-minute sign-up, then shows how on each device.

The welcome tour and checklist

New accounts get a short tour, How Deadline Wallet works, and a Getting Started checklist. To see the tour again, use Replay the tour: on the website it is in Settings → Getting Started, and in the app it is its own row in Settings.

Add a deadline

Every way to add one, and what to fill in for each type.

Ways to add a deadline

  • Type it in yourself (below).
  • Scan & Add: a photo of a receipt, a screenshot, or a PDF.
  • Speak or Type: say or type one sentence.
  • Forward receipts: forward the order, trial or renewal email.
  • Subscription check-up: tap the subscriptions you pay for.
  • On the website, many at once from a spreadsheet with Import from CSV in Settings → Data & Privacy.

Whichever way you choose, you always see the details before anything is saved.

Type it in

  1. On the website, use the Add deadline panel on your dashboard. In the app, tap Add at the bottom and scroll past the buttons to the form.
  2. Choose the type: Return, Warranty, Subscription or Free Trial.
  3. Fill in the name, the store, and the dates for that type. A preview shows the deadline it works out.
  4. Add the amount if you know it, and check the reminder days.
  5. Tap Save Deadline. If something required is missing, it shows what and keeps everything you typed.
Return
Required:
Item name, plus a purchase date and return window (days), or a Return by date
Warranty
Required:
Product name, purchase date and warranty length (months)
Subscription
Required:
Service name and next renewal date
Free Trial
Required:
Trial name and trial end date. Add the cost after the trial, too

Use Return by when the receipt prints a last return date: that date becomes the deadline. Not sure of a date yet? Tap Save as Draft (Draft in the app). Drafts are marked Draft, and Needs Info while something required is missing. They don't send reminders or count in your totals until you finish them.

Use a store's usual return window

For a Return, the Merchant box suggests the stores you've used first, then 26 big stores. Pick Target, for example, and a button such as Use Target's usual 90 days appears; tap it to fill the return window. For a store you've returned to before that isn't on the list, the button offers the window of your last return there. Nothing is filled in until you tap. Store policies often differ by item, card or season, so check your receipt when it matters.

If you see "Possible duplicate found"

The new deadline looks like one you already have. View Existing opens that one, Save Anyway saves the new one too, and Cancel goes back without saving.

Scan & Add

Turn a receipt, screenshot or PDF into a deadline.

Start a scan

  • On the website: in the Add deadline panel, click Scan & Add, then drag in a photo, screenshot, PDF or text file, or click the box to choose one.
  • In the app: tap Add, then Scan Receipt / Screenshot, and choose Take Photo, Choose from Library or Choose PDF or TXT.

Photos can be up to 10 MB and PDFs up to 4 MB and 25 pages. A PDF needs real text in it: for a scan of paper, take a photo of the paper instead.

On the website, Cancel stops a scan at any time. A step that takes more than 75 seconds stops by itself, so you can try again or add the deadline yourself.

Take a photo that reads well

  • Lay the receipt flat in good light, one receipt per photo.
  • Get close enough that the receipt fills the photo.
  • For an order email or web page, use a screenshot. A photo of a computer screen reads badly.

Check the review screen

  1. Review Scan opens with everything that could be read. Nothing is saved until you save it here.
  2. Check the type, name, store, amount and dates, and fix anything wrong. Each field shows how sure the reading is: High, Medium or Low.
  3. If the receipt lists several items, tick each one to track on the website. In the app, pick one, then scan again for the next.
  4. If no return window is printed and the store is one we know, a button may offer the store's usual window. Tap it only if it fits your item.
  5. Tap Save Deadline. If something required is missing, you can save it as a draft and finish it later.

Dates that can't be read clearly are left blank or flagged, never guessed. A photo or screenshot is kept with the deadline as your receipt; a PDF or text file is only read to fill in the form, then deleted as soon as it has been read (from older versions of the app, after 7 days). A file you upload but don't save with a deadline is deleted after 7 days.

How many scans you can do

The Free plan allows 5 scans in any 24 hours and Premium 30. Everyone has Premium during the beta. If you reach the limit, you see Daily scan limit reached with the time your next scan is available. Speak or Type doesn't count.

Receipts are read in your browser or on Deadline Wallet's own servers, not by an outside AI service.

Speak or Type

Add a deadline by saying or typing one sentence.
  1. On the website, click Speak or Type in the Add deadline panel. In the app, tap Add, then Speak or Type.
  2. Click Start speaking on the website, or tap the microphone (Tap to speak) in the app, and say one deadline. Your words appear under What I heard. Allow the microphone the first time you're asked.
  3. Stop, fix any word under What I heard, then tap Continue.
  4. Check the details on Review Scan and tap Save Deadline. Nothing is saved before that.

Sentences that work

  • "Target headphones, bought October 25, $79.99, 30-day return"
  • "Netflix renews on the 15th, $15.49 a month"
  • "One week Hulu free trial, starting today"

Say one deadline at a time, in English. Pausing to think is fine; listening stops by itself after about 8 seconds of silence, and after 60 seconds at most.

No microphone, or using Firefox? Type or paste the sentence into the same box instead. No audio is recorded or kept, and the text is used only to fill in the form.

Forward receipts

Forward an order, trial, renewal or bill email to your private address.

Forward an email to your own private Deadline Wallet address, from any inbox. Deadline Wallet reads only that email, finds the deadline and puts it in To review. Nothing is saved until you check it and save it. It works on Free and Premium.

Find your address

  • On the website: click Forward an email in the Add deadline panel, or open Settings → Forward receipts, then Copy.
  • In the app: tap Add → Forward an email, or Settings → Forward receipts, then Copy.

It looks like k7m2q9xw4tbn3c@in.deadlinewallet.com. Keep it to yourself: anyone who knows it can send email to it. Get a new address in Settings retires the old one at once.

Forward and review

  1. In your email app, open the order confirmation, receipt, free-trial, renewal or bill email.
  2. Tap Forward (not Reply), paste your address in To, and send.
  3. Within about a minute it shows under To review on the dashboard (website) or on Home (app).
  4. Tap Review, check the details, and tap Save Deadline. Tap Dismiss to remove one you don't want.
  • Bills and autopay emails come in as a Subscription named like "Xfinity bill". Check the date, and how often you're billed, before saving.
  • "We didn't find a deadline in this email": tap Add it yourself to fill it in, or Dismiss.
  • An email that's only a picture isn't read. Save the picture and use Scan & Add.

Forward automatically from Gmail (optional)

  1. On a computer, open Gmail settings, then Forwarding and POP/IMAP, then Add a forwarding address, and paste your Deadline Wallet address.
  2. Gmail sends a code. It shows in To review as Confirm Gmail forwarding. Type the code in Gmail and verify.
  3. Leave Disable forwarding selected, so Gmail never forwards your whole inbox.
  4. Search Gmail for subject:(order OR receipt OR "free trial" OR subscription OR renewal), create a filter from it, and choose Forward it to your Deadline Wallet address.

What's kept

Only what was found (store, amount, dates), who forwarded it, the original sender and the subject, until you save or dismiss it, or for 30 days at most. The email's text isn't kept, and our email provider deletes its copy within 30 days. Up to 30 forwarded emails are read per day. Deadline Wallet never connects to your inbox.

Subscription check-up

Add all your subscriptions in about 2 minutes, by tapping.
  1. On the website, click Subscription check-up in the Add deadline panel. In the app, tap Add → Subscription check-up.
  2. Tap every service you pay for, from 30 popular ones. Missing one? Type it under Add another. Ones you already track show In your list.
  3. Check each price (it starts at a typical US price, so change it to what you pay), how often you're billed, and the next renewal date. Not sure of the date? Tick Not sure of the date.
  4. Check the total and tap Save all.
  • One marked Not sure of the date is saved as a draft. Add the date later to get reminders.
  • Subscriptions already in your list are skipped, never added twice.
  • On the Free plan, anything past 5 active deadlines is saved as a draft.

Reminders and the weekly email

When and how you are reminded, and how to fix missing reminders.

Choose when

When you add a deadline, tap the days you want under Remind me (days before deadline), and check the Reminder schedule underneath. These are picked for you:

Return
Reminders picked for you:
1 week, 3 days and the day of
Warranty
Reminders picked for you:
30 days, 2 weeks, 1 week and the day of
Subscription
Reminders picked for you:
2 weeks, 1 week and the day of
Free trial
Reminders picked for you:
3 days, 1 day and the day of, plus 1 week if the trial ends 14 or more days away

Choose how

  • Email goes to your email address once it's verified.
  • Push · Premium sends a notification to the phone app. In the app, go to Settings and tap Enable Push Notifications, or tap Turn on when Home offers it (once on each phone or tablet, after you add a deadline). If you have active deadlines reminded by email, the app then asks whether to add push to them: tap Add Push, and they keep their email reminders too. Without Premium, or if no phone can get push (you signed out, turned notifications off for the app, or removed it), a push-only deadline is reminded by email instead. After turning notifications off, this starts once you've opened the app again; after removing the app, usually from the next reminder.

When they arrive

  • Once a day, between 8 and 10 AM in your time zone. If sending is held up that morning, it goes out later the same day. Your time zone is set automatically from your phone or browser.
  • A subscription moves to its next charge date after it renews, and reminders start again.
  • A subscription you tapped Keep it on is reminded once, the day before each charge.
  • Reminders stop when you act on a deadline or delete it. Drafts get none until you finish them.

If a reminder didn't arrive

  1. Check your spam or junk folder, and make sure your email is verified.
  2. Open the deadline: it needs a date, reminder days, and Email or Push chosen.
  3. Open Settings → Reminder Health. It shows what's working and lists deadlines that need a fix.
  4. Push blocked? Turn notifications on for Deadline Wallet in your phone's own settings, then open Settings in the app and tap Enable Push Notifications again. Push is set up on each phone or tablet separately, and turns off on a device when you sign out there.

Weekly summary email

Every Monday between 8 and 10 AM your time: what's due in the next 7 days, anything already overdue, your money at risk (the same number as on your dashboard), and what you've saved so far. If nothing is due that week, no email is sent. Turn it off with Weekly summary email in Settings (website: under Notification Preferences), or with the Unsubscribe link in the email.

Reminders are helpful tools, not guarantees. Keep an eye on your deadlines too.

When a deadline is done

Mark a return done, cancel a trial or subscription, keep one you pay on purpose, or undo.

These buttons record what you did; they don't return an item or cancel a plan for you. Do the real thing first (for a subscription or trial, Open Cancellation Link if you saved one), then tap the matching button on the deadline.

Except for Continue After Trial, the deadline then leaves your active list, its reminders stop, and you'll find it in History. When you return something or cancel, a message says what you kept, for example "Nice — you kept $49.99. You've saved $212.40 with Deadline Wallet so far."

Undo a mistake

Tap Undo on the message at the bottom; it only shows for a few seconds. Later, open History, find the deadline and tap Reopen. Any savings it added are taken back out.

A subscription you keep paying

For a bill you pay on purpose, like internet, phone or insurance, tap Keep it on its card in the list, or open it and tap Keep it there. It stays on your list and in Monthly burn, reminds you once the day before each charge, and stops counting in Money at risk, Urgent and Due this week. In the All list it moves to Subscriptions you're keeping at the bottom. Changed your mind? Tap Remind me as usual: reminders go back to 2 weeks, 1 week and the day of, and it counts in Money at risk again. The button shows for a repeating bill with a next charge date (not a one-time charge).

Edit, History and receipts

Change or delete a deadline, find it in History, attach a receipt.

Find and edit a deadline

Search or use the filters above your list (website) or in Records (app). Open the deadline, tap the pencil icon, change what you need and tap Save.

Each filter shows how many deadlines it has. All is split into Needs attention (overdue or due in the next 7 days), Coming up, and Subscriptions you're keeping, folded at the bottom with their monthly total: tap it to open.

Delete and History

  • Deleting moves a deadline to History straight away and stops its reminders. Tap Undo on the message if it was a mistake.
  • On most subscription, return and free trial cards in the list, the second button is Keep it, Keep the item or Continue After Trial instead of Delete. To delete one of those, open it and tap Delete Record.
  • Open History with History on the dashboard (website), or Records → View History (app).
  • Restore brings back a deleted deadline. Reopen makes a completed one active again. Deleting from History removes it for good, with its receipt file and the text read from its scan. When one receipt was saved as several deadlines, the file stays while any of them uses it, and the scan text goes with the last one saved.
  • Deleted deadlines stay in History for 12 months.

Receipts and proof

  • Attach one while adding a deadline, or later by editing it. A new file replaces the old one.
  • Photos (JPG, PNG, WEBP) up to 10 MB, shrunk before upload. PDFs up to 4 MB on the website.
  • Each account can upload up to 100 files in any 24 hours, scans included.
  • Open the deadline and tap View Receipt (website) or View Receipt / Proof (app).
  • If a receipt shows your full card number, cover it before you take the photo.

Home, Reports, export and settings

What the numbers mean, Reports, exporting your data, and settings.
Money at risk
What it counts:
The amount on active deadlines that are overdue or due in the next 7 days, not counting warranties or subscriptions you're keeping
Due this week
What it counts:
Active deadlines due in the next 7 days, not counting subscriptions you're keeping
Expired
What it counts:
Active deadlines whose date has passed and that you haven't acted on
Monthly burn
What it counts:
The monthly cost of your active subscriptions
Est. Savings
What it counts:
Money you kept by returning items and canceling trials or subscriptions

A deadline with no amount adds nothing to these totals, and savings only go up when you act. New accounts also see a Your first save card for 14 days, pointing to the soonest deadline with money on it.

Reports

On the website, click Reports at the top of the dashboard. In the app, tap Reports & Impact on Home. Reports are a Premium feature, free for everyone during the beta.

Export your data

In Settings, tap Export My Data for a backup file of your deadline details (not your receipt files). It works on every plan.

Settings

On the website, open Settings from your profile button at the top right. In the app, tap Settings at the bottom. There you can change light or dark mode, your password and email, push and weekly emails, your forwarding address, and check Reminder Health.

Plans and the beta

These limits apply only after the beta. We'll tell you before paid plans start, and nobody is charged unless they choose a paid plan. When the beta ends, an account without a paid plan moves to Free: nothing is deleted, your existing deadlines keep their email reminders (push-only ones by email), and the limits apply to new items. The terms are on Subscription Terms.

Account, password and email

Sign in, verify your email, reset or change your password or email.

Verify your email

Email reminders only go to a verified address. Open the email we sent when you signed up and tap the link (it works for 24 hours; check spam). Need a new one? On the website, click Resend Verification Email in the dashboard banner. In the app, tap Resend in the Getting Started checklist on Home, or open Settings → Reminder Health and use Resend Verification Email. Once your email is verified, we send you one welcome email with a few tips.

Forgot your password

  1. On the sign-in page, tap Forgot password? (website) or Forgot your password? (app).
  2. Enter your email and tap Send Reset Link.
  3. Open the email within 60 minutes, choose a new password (at least 8 characters) and tap Reset Password.

Resetting or changing your password signs you out on every device. To change it while signed in, use Password in Settings (website) or Change Password (app); both email you a link.

Change your email

In Settings, choose Change email (website) or Change Email (app), enter the new email and your current password, and tap Send confirmation link. Nothing changes until you open the link we send to the new address and click Change my email. Then sign in again with the new email.

Delete your account

Delete your account, or restore it within 30 days.
  1. Want a copy first? Use Export My Data in Settings.
  2. In Settings, tap Delete Account (website: under Data & Privacy), read what will be deleted, re-enter your password and tick the box.
  3. Tap Delete My Account.

Your account is locked at once: you are signed out, reminders stop, and Premium bought on the website is canceled. Everything is kept for 30 days in case you change your mind, then permanently deleted. Premium bought in the App Store or Google Play must be canceled there.

To restore it within 30 days, click Restore my account in the email we sent, or sign in and choose Restore my account. You can also go straight to Delete Account.

Something isn't working

Quick fixes for common problems, and how to reach us.

I'm not getting emails

Check spam or junk; our emails come from Deadline Wallet, usually noreply@deadlinewallet.com. Adding that address to your contacts helps them reach your inbox. Make sure your email is verified, and that the address in Settings is the one you're checking. See Reminders.

A forwarded email didn't show up

Wait a minute and reload. Copy your address again from Forward an email (if you used Get a new address, the old one stops working), and use Forward, not Reply. See Forward receipts.

A scan read something wrong

Fix it on the review screen; nothing is saved until you tap Save Deadline. For a better scan, lay the receipt flat in good light and fill the frame. See Scan & Add.

The microphone is missing

Some browsers, such as Firefox, don't support speech, so type the sentence instead. In the app, allow microphone and speech access for Deadline Wallet in your phone's settings.

My deadlines don't match on two devices

Make sure both are signed in with the same email, then refresh the website or pull down on Home in the app.

The app doesn't show the latest fix

Close the app completely and open it again; sometimes it takes two restarts. During the beta, also update it in TestFlight (iPhone and iPad) or Google Play.
